Only WIDEN AI does these

What WIDEN AI does
that nothing else does.

Other migration practice software handles the matter, the billing, and the file storage well. This page is about the things only WIDEN AI can do — the ones built around how a migration practice actually communicates with clients and assembles work. Concrete examples, not feature bullets.

Built by Keshab Chapagain (MARN 1576536) for his own Sydney practice.

Feature #1 · AI Visa Pre-Fill

A complete data sheet for any visa subclass — in 90 seconds.

You tell Command Centre the client name and the visa subclass. WIDEN AI reads everything in their workspace — emails, attached passports, employment letters, IELTS results — and produces a Word data sheet matching the ImmiAccount form, every field pre-filled, missing items flagged in red. You open it side-by-side with ImmiAccount, review, fill the gaps, and lodge personally.

Manual workflow
25 minutes

Open ImmiAccount. Pull up the client file. Type from the passport. Cross-reference IELTS scores. Re-type the employment timeline. Check the address. Catch a typo. Re-type. Fight with a date format.

With WIDEN AI
90 seconds

"Prepare a 482 application for John Smith." Word data sheet ready. Every field populated. Missing items highlighted. You review, fill gaps, lodge.

Command
"Prepare a 482 application for John Smith"
WIDEN AI returns: a Word data sheet titled John Smith — 482 application data sheet, with every field from the ImmiAccount form populated from his client data, his emails, and his attached documents. Missing items appear in red so you know exactly what to chase. The data sheet goes straight into his workspace and into your email Drafts folder as a forwardable attachment.
Why nothing else does this: other practice software stores forms but does not synthesise across the client's email history, attached documents, and CRM record to fill the form for you. The synthesis is the unique part — and the part that saves 25 minutes per application.
Feature #2 · Command Centre

Run your practice by typing or speaking what you need.

No menus. No forms. No clicking through five screens to set up a client folder. You type the thing you want, or you tap the mic and say it. Command Centre runs the whole operation end-to-end — reading your inbox, your CRM, your workspaces — and produces the result.

Examples
"Set up Sarah Chen's workspace"
Creates a per-client folder. Links every attachment from Sarah's emails (CV, IELTS, employment refs). Generates her Word notes file. 5 seconds.
"Find clients I haven't replied to in 7 days — draft responses"
Searches your inbox. Pulls each client's history. Drafts a personalised reply per client into your email Drafts folder. You review and send.
"Reply to David's last email — tell him interview is Thursday 2pm"
Finds the right thread. Drafts a reply IN-THREAD (not a new email). Routes to the correct address. Gets the subject right. Lands in your Drafts.
Why nothing else does this: traditional practice software is a menu system — you navigate to do anything. Command Centre is conversational — you tell it the goal, it figures out the steps. The difference compounds across the 100+ small operations you do every day.
Feature #3 · Voice & Hands-Free

Run your practice on the move — truly hands-free.

Dictate any command. Hear the result read back to you. In hands-free conversation mode, the loop runs continuously: you speak, the AI acts, you hear the result, and it listens for the next command. No screen, no typing — just you and the practice.

Hands-free conversation
You (driving between appointments): "Aria, what's my pipeline look like this week?"
Aria reads back: "You have 12 active matters. 4 are 482s, 3 are 186 ENS, 2 are 820 partner, 3 are 500 student. Two new leads came in this morning — one classified Hot, one Warm. Want me to draft replies?"
You: "Yes, draft both."
Aria: "Done. Both drafts are in your Gmail Drafts. You'll see them when you stop." No typing. No screen.
Why nothing else does this: traditional practice software is keyboard + screen only. Voice control in a regulated profession like migration requires both the AI and the safety rails (drafts only, you sign off everything). WIDEN AI was built voice-first, not voice-bolted-on.
Feature #4 · AI replies in your voice

Drafts that sound like you, not a template.

Every new lead enquiry is auto-classified Hot / Warm / Cold / Not-a-lead. WIDEN AI then reads the thread plus the client's full history with your practice and drafts a personalised reply in your tone — not a template, not a generic AI answer. It lands in your Gmail Drafts folder. You review, edit if you want, and send.

Real example
Incoming: "Hi Keshab, my partner visa got refused. Can you help me appeal? I emailed you in 2023 about my 482 — not sure if you remember."
WIDEN AI auto-classified: HOT lead — existing contact, refused visa, urgent matter. Pulled context from the 2023 482 emails.
Draft (in your Drafts folder, in your voice):
"Hi Anand, thanks for reaching out — I do remember our 482 conversation in 2023. Sorry to hear about the partner refusal. Partner refusals usually have a 21-day AAT appeal window, so the timing matters. Can you forward the refusal letter and any IMR you've had so I can run a quick assessment? Happy to do a 15-minute call this week — here's my booking link: [...]"
Why nothing else does this: generic email tools draft from a template. ChatGPT can draft but has no memory of your past correspondence with this client. WIDEN AI reads the entire thread + the client's history with your practice + your past replies to similar enquiries — and synthesises a reply that sounds like you, not a chatbot.
Feature #5 · Inbox Janitor

Clean 500 promotional emails with one sentence.

You finish a busy week with 800 unread emails. Most are promotional, newsletters, automated DHA noise. You tell Command Centre to clean them, it finds them via native inbox search, shows you a 5-email sample so you can confirm, then bulk-archives the lot in a single API call.

Command
"Clean up promotional emails older than 30 days"
WIDEN AI returns: "I found 432 promotional emails older than 30 days. Sample: [shows 5]. Archive them all?"
You: "Yes"
432 emails archived in one API call. Your inbox drops from 800 to 368. None of your client emails were touched.
Why nothing else does this: traditional practice software does not touch your inbox at all. Email rules in Gmail are rigid — one filter per sender. WIDEN AI uses AI to identify "promotional" semantically across hundreds of senders at once, gives you a sample to confirm, then executes safely. Saves 30-60 minutes per week of manual inbox triage.
Feature #6 · Per-Client Workspaces

Client folders that build themselves.

Every time a client emails you with an attachment — passport, IELTS certificate, payslip, employment reference — WIDEN AI auto-classifies the document, links it to the right client's workspace, and updates the client's Word notes file. Your workspace stays current in the background — no manual filing, no renaming, no dragging files. You spend your time on the case work, not the housekeeping.

What happens automatically

7:43am — Client emails you a scanned passport.

7:43am — WIDEN AI extracts: passport number, full name, nationality, date of birth, expiry. Classifies as "passport". Links to the right client's workspace. No action from you.

10:15am — You open Command Centre: "What's John's passport status?"

WIDEN AI: "Australian passport, expires 14 March 2029. Scanned copy in his workspace. Last verified this morning."

Why nothing else does this: matter management software requires you to manually create folders, drag files, and type metadata. WIDEN AI uses document intelligence to do all three automatically the moment the email arrives. The workspace builds itself in the background.
Feature #7 · Intake Checklists

Tailored visa intake checklists in one prompt.

A new client engages for a specific visa. Instead of pasting a generic checklist, you ask Command Centre to generate one tailored to their visa subclass — questions and document list both. The output is a Word file you can send the client at intake. Their answers come back, you save the file to their workspace, and the data is ready for the visa pre-fill.

Command
"Generate an 820 intake checklist for Anand — he applied with his Australian partner Sarah"
Returns: a Word file with 47 questions covering relationship history, household evidence, financial evidence, social evidence, and a document checklist (relationship registration, joint accounts, bills, communications evidence, etc.). Specific to subclass 820. Sized to send the client at intake. Saves 45 minutes per new client engagement.
Why nothing else does this: generic templates are not tailored to the specific visa or the specific client's facts. ChatGPT can generate a checklist but doesn't know your past intake patterns. WIDEN AI knows both the visa subclass requirements and your established intake style — and produces a document that fits both.
Feature #8 · MARN-aware, by design

Built by a practising MARA agent — not adapted for one.

Every feature was designed by someone who has to comply with the Code of Conduct daily. AI-drafted replies never make visa outcome promises. Drafts are saved, never sent — the registered agent reviews and lodges everything personally. Sender identification and ABN appear on every outbound email. Every action is logged in an audit trail.

Safety rails in practice

✓ AI drafts never say "I can guarantee your visa" — the safety filter rewrites this language

✓ Drafts go to Gmail Drafts, never to Sent — the agent reviews 100% of outbound

✓ AI Visa Pre-Fill generates a data sheet, never auto-lodges to ImmiAccount — the agent personally lodges

✓ Every Command Centre action is logged with timestamp + user + action — reviewable audit trail

Why nothing else does this: generic AI tools have no awareness of the MARA Code of Conduct. Built-for-migration software written by software engineers does not always reflect how a practising agent thinks about compliance. WIDEN AI was built by an RMA who lives with these obligations every day.

What WIDEN AI is not — and why that matters

WIDEN AI does not do trust accounting, time billing, or matter file management as the system-of-record for your practice. If you use Migration Manager, LEAP, or similar, keep it — that's the right tool for the records-and-billing job.

WIDEN AI sits alongside your existing practice management software. It runs your inbox, your client communications, your visa data assembly, and your AI work. Use them together — like Slack alongside email, not instead of it.

The right question isn't "which one should I use?" It's "what tool does each job best?" — and for the inbox, AI drafting, voice control, and data assembly work, this page is the answer.
